Viewing Documents Records in a CloudNine Review Project
There are three viewing options in CloudNine Review: Vertical Doc List View, Native Tree View, and Table View. CloudNine Review's default view is the Vertical Doc List View and is the one you see the first time you open a CloudNine Review project. You can change views using the View drop-down at the top left of the window or select the View option from the menu Tools-View. The last view selected when exiting the project is the view you will see the next time you open the CloudNine Review project.

Vertical Document List
CloudNine Review's Vertical Doc List View is the original view offered in CloudNine Review and is the view you see when you open a CloudNine Review project for the first time.
There are three main parts to the Vertical Doc List View.
- Vertical Document List: The document list you see represents the current collection of documents available for your review. This collection may include all documents within the database or the results from an active filter or search. To enhance your navigation experience, the document list is organized into groups of 25 records. For instance, if your search yields 100 documents, you will view these as four distinct groups of 25 documents each. This layout minimizes excessive scrolling and promotes efficient navigation across the active list. By default, documents are sorted by the CloudNine DocID field. Select Tools-View-Sort to sort by a different field.
When you select a document, it will be highlighted, indicating that it is the current document. The Document View and Data Panel will then reflect information related to the selected document. - Document View: Displays tabs for each document state (version) available for the selected record. The tab will only appear if that version of document exists. Each document may have one or more of the following document states.
- Image: An imaged version of the original document acquired by scanning paper documents or printing (converting) electronic documents.
- Native: A copy of the electronic file after extraction from any container file. When the native tab is selected, if the file type is supported it is displayed in the viewer. If not supported, the native file is downloaded to your computer.
- Text: The corresponding text associated with the document or document image. Text may be extracted from the native file or generated through Optical Character Recognition (OCR).
- HTML: The native file rendered to HTML form.
- Produced: The produced image copy of the document. It is important to note that a document may be produced multiple times. Each version of the produced copy can be accessed through the Produced drop-down menu and is identified by its corresponding CloudNine Review production ID.
- Data Panel: Fielded information about the selected document. Fields may be populated automatically through native file processing during metadata extraction or manual coding. System Fields include fields specific to CloudNine Review or extracted Metadata. User Fields are custom fields created and coded by the user.
Navigating Records in Vertical Doc List View
To navigate between documents in the Vertical Doc List View:
- On your keyboard, use the Left (previous) and Right (next) arrow keys to navigate through the document list. When you reach the last document in a group, you will automatically advance to the first document in the next group.
- Click the left mouse button to select a document record.
- Use the Navigation arrows from the Document Review tools at the top of the Data Panel on the Vertical Doc List View.
Group Toolbar
The Group Toolbar allows you to navigate to the Next or Previous groups using arrow icons. You can also type the group number next to Group, then press Enter to access the specified group. The Group Toolbar is available on the Vertical Doc List View and Table View.
Status Bar
The Status Bar at the bottom of the page references the Current search you are viewing and the number of Documents in the result list. The Status Bar is available on all three views.
Native Tree View
The Native Tree View offers an alternative method for viewing records in CloudNine Review. In this view, the folder structure replicates the source structure of the documents. This feature allows users to drill into the folder structure to view documents and metadata. The main difference between the Native Tree View and the Vertical Document List is that the folder path replaces the document list, organizing documents by folder instead of groups.
Navigating in Tree View
For keyboard navigation, use your Left (previous) and Right (next) arrow keys on your keyboard. When you come to the last document in a folder you are advanced to the next folder, then document.
Table View
Viewing documents in Table View is entirely different than the Vertical Document List or Native Tree View.
- In Table View, each row is a document record and metadata is displayed in columns.
- Columns display metadata for the associated document. Columns may be resized and sorted. Additionally, you can customize the displayed column fields and their order by navigating to Tools - Sort - Table Sort Settings.
- Document records are displayed in groups of 25. The Group toolbar is used to navigate between document groups.
- The image icon
on the left opens the Document Review window. Since this is a separate window, the Table View is ideal for split screen or dual monitor review.
