Image Documents in CloudNine Review

You can add an image version of a document with CloudNine Review's Image On The Fly functionality. There are two available options: Image Current Document and Image Current Search.  

Notes on Imaging

  • Only Admin users in the CloudNine Review project can generate images. 
  • If an Image already exists, the Image Current Document option is unavailable.
  • Images are generated and stored as near-native PDFs. 
  • When producing, you can export images in PDF or TIFF format based on the scope of your project.

Image On the Fly Options

The Image On The Fly options are found under the Tools menu in the CloudNine Review project.

Image Current Document

The Image Current Document option generates an image version of the record you are currently viewing. This action is immediate, once the image is generated the Image tab is available and the imaged version of the document can be viewed. The Image Current Document option is not available if an imaged state of the document already exists. 

  1. In the CloudNine Review project, select a record you wish to image. 
  2. Select Tools -> Image On The Fly -> Image Current Document
  3. An Imaging Document... message appears.

    Once imaging completes the message closes and the Image tab is available. 
  4. Click the Image tab to view the image. 

Image Current Search

Generates an imaged version of records in the current result set. This may be an active filter, search, or combination of a search and filter. If you wish to image all records in the project, select the View All Records option to release any active filter or search and return all documents in the project. 

At the bottom of the active view, the current search and document count is displayed and can be used to verify the search and number of documents that will be imaged.

👥 You must be an Admin in the CloudNine Review project to access imaging tools. 

  1. Use filter and/or search options within the CloudNine Review project to isolate the records you want to image.
  2. Select Tools -> Image On The Fly -> Image Current Search. The Image On The Fly Confirmation screen opens and provides specific options for imaging.

    • (1): Excel Imaging Options: Determines how Excel files will be imaged. There are two options to choose from.
      • Create a slip sheet for all Excel files (default): Generates a placeholder for all Excel file types. 
      • Image all Excel files: Create an image for all Excel files. 
    • (2): Placeholder Options: Customize placeholders (slip sheets) for Excel files (if selected) and non-supported file types (click here to see a list of supported file types).  
      • Custom Comments: Enabled, you can input a text comment (up to 200 characters)  to include on your placeholder (slip sheet). 

⚠️You can only create Custom Comments on slip sheets through the  Image On The Fly - Image Current Search option. The Custom Comments feature is not available if creating images during production.

      • Provide file name on Slip Sheet (default): The file name, as it appears in the Original FileName field, is printed on the slip sheet. 
      • Remove file name on Slip Sheet: The file name is not printed on the placeholder. 
    • (3): Image Overwrite Options: Determines how existing images are handled.
      • Do not overwrite existing images (default):  Preserves the existing image version of the document as viewed on the Image tab. 
      •  Overwrite existing images: Replace the existing image with a new image.
    • (4): You are about to image X documents: Indicates the number of records that will be imaged, excluding records with existing images. 
    • (5): Do you wish to continue?
      • Select Continue to proceed with the image request.
      • Choose Cancel to close the Image On the Fly Confirmation and return to your project view. The imaging request is not submitted. 
  1. Once you have selected the imaging options and verified your document count, select Continue to proceed with the image request. 
  2. After the initial Image On the Fly Confirmation screen closes, a second screen indicates the image request has started. Click Close to close the screen and continue reviewing documents in your project.

What's Next

When you choose Image Current Search, the image request is placed in a queue that generates the images in DocID order. Images can be viewed as they become available in the CloudNine Review project, even if the image job isn't complete. You will receive an email once the image job is completed.

If you wish, you can track the progress of your imaging job in the My Discovery Queue, found under the Training & Support menu in your project view.

Producing Images

During an export/production, if the Produce Image option is selected any record that hasn't already been imaged will be imaged. The Custom Comments on placeholders feature is not available if imaging at the time of production.
